The Incubator Challenge: Catalog commercial properties' equipment and service records

 
As a service provider to the commercial contstruction industry, Digital Building Consultants works with large scale commerical properties all across the country and overseas. In identifying a need for equipment and service records to be accessible for property owners, managers, and service providers, an idea took shape to build an automated technology solution to keep track of it all.

Prop-Trax creates a centralized database of all the building management essentials – warranties, documentation, and maintenance tracking. If implemented with construction, it captures all the field adjustments and modifications that often get lost in close-out documentation. No matter when it's implemented, the software streamlines routine maintenance and identifies all systems and equipment that need attention. The Prop-Trax technology is supported by an on-site walkthrough of the entire facility to ensure you capture every relevant piece of equipment.

Details on a building' system information is often lost during construction completion, and all field adjustments aren't typically fully reflected in the documents transmitted to the owner. When a building changes hands, even more information is likely to get lost. Implementing Prop-Trax during construction helps capture everything and limits the loss of important information during transfers in ownership. When renovations and modifications are planned, time and money are often lost to capture the existing conditions before shifting to expansions and modifications. Not with Prop-Trax! The information is in one place and readily accessible to all – maintenance worker, inspector, manager, or owner.

In discussing initial project desires with WTE, the need for a platform that can track more than roof systems and maintenance became apparent. We were able to tie in all the mechanical systems in buildings – those systems like HVAC and elevators - that are the lifeblood of building operations and also need regular routine maintenance to ensure cost-effective life and building occupancy. WTE helped identify the broader scope as a green field (real opportunity) expansion in a blue ocean (limited competition) environment. WTE also helped identify the areas to avoid that are handled by other established businesses and showed how to focus on the relatively untouched area of mechanical tracking for asset management.
 
WTE applied their knowledge of IT equipment tracking along with database creation and user interfaces to create a user-friendly platform for tracking equipment and maintenance. Prop-Trax is accessible to both the building maintenance and management staff, but also to the owners who want to protect the value of their assets. With an expertise in building vendor management systems that seamlessly tie into properties, WTE also included components for secure vendor portals where third parties can log their work and building management can view everything in real time. With customizable checklists, both managers and vendors alike have clear task lists and scheduled to-dos with automated reminders for an easy path forward in an easily overhelming commercial enviornment.
